The situation
Tutoring at St. Clair is free for students and valued by faculty, but it was heavily manual. Coordinating bookings across campuses took 30–60 hours per semester. Payroll took 13 hours every two weeks, more than 90 hours per semester, just to pay tutors. Without live data, decisions were made without seeing how the program performed.
What Nimbus did
Students now search for and book their own tutors. A timesheet and tagging system built for St. Clair’s multi-campus structure handles payroll for about 100 tutors. The dashboard shows when and where each service is used.
The result
Sessions more than doubled in one year. Payroll dropped by 94%, from 13 hours to 45 minutes. The program received 265 organic tutor applications without spending on marketing, and has 94 active tutors. Usage data showed, for example, that IT students used conversational English sessions heavily, so walk-in times now fit around IT classes.
“With Nimbus, we really do feel like we're part of a community that’s empowered us to customize a solution that works for us.”
“This has led to massive cost savings on our end, as well as a much more effective use of time for the tutors – rather than having to be sitting in the walk-in lab hoping someone comes in.”
